Salary Range: $50,643-$97,430

Promotion Potential:
  If hired at the PDS Grade 7 level, then upon completion of one year of demonstrated outstanding performance at that level and subject to the approval of the PDS Director, the incumbent may be promoted to the PDS Grade 9 level without further competition.

Organization Description:
The Public Defender Service for the District of Columbia (PDS) is a federally funded, independent organization that provides legal representation to individuals who are charged with criminal offenses and facing a loss of liberty in the District of Columbia. In addition, PDS represents individuals facing a loss of liberty in mental health and other cases. Governed by an eleven-member Board of Trustees, PDS has approximately 225 employees, most of whom are located at the main office at 633 Indiana Avenue, N.W., Washington, DC. There are approximately 100 attorneys at PDS. In addition, PDS has social workers, investigators, and administrative and technical staff who work with the legal staff to advance the PDS mission.

For more than 60 years, PDS has been a leader in providing exceptional advocacy and quality legal representation to indigent adults and children. Judges and prosecutors alike, as well as public defender agencies and criminal justice bars across the country, acknowledge and respect the outstanding work of PDS’s attorneys. PDS is recognized as one of the few defender organizations to meet the standards outlined in the American Bar Association’s Ten Principles of a Public Defense Delivery System.

This position is located in the Executive Division.  The Executive Division staff are responsible for directing the administrative and personnel functions, including hiring and managing the attorneys and support staff; securing resources and developing policies and procedures to direct and enhance the legal practice of the organization; preparing and managing the PDS budget; and interacting with court and criminal justice agencies to advance the PDS mission and improve the overall quality of the criminal defense bar. 

Position Description:

The executive assistant will be responsible for providing administrative support to the Director, the Deputy Director, and the General Counsel in their overall planning, development, and management of PDS’s operations. The support will come primarily through handling correspondence and telephone calls; scheduling and managing appointments and visitors; and producing, maintaining, and archiving documents, but the executive assistant will also:


  • Assist the executive staff in their work with the PDS Board of Trustees and its committees, including scheduling meetings and recording and maintaining meeting minutes;
  • Become fully proficient in using PDS’s computerized case tracking system, including retrieving and formatting data for reports;
  • Provide support to the General Counsel in renewals of bar membership for agency attorneys and professional liability insurance;
  • Provide basic litigation support to the General Counsel, formatting documents for filing, electronically filing pleadings, and electronically tracking case events and filing deadlines;
  • Provide administrative support to two PDS operational committees; and
  • Periodically provide limited administrative support to other PDS divisions as needed;

Required Qualifications:

Applicants must have two years of specialized secretarial experience and two years of general office experience that involves progressive responsibility for law-related matters.  Excellent customer service and oral and written communications skills are required for interacting with a wide variety of persons.  Applicants must have a high degree of proficiency in computer skills (Word, Outlook, Power Point, Excel, Access, and Publisher); exceptional grammar, spelling, punctuation, and editing skills; and knowledge of legal and business formats.  Strong organizational skills are needed to track and complete multiple tasks within deadlines.  Applicants must be able to maintain strict confidentiality due to responsibilities of handling sensitive matters on behalf of the executive staff.
